Terms & Conditions

These terms apply to all confirmed bookings unless we agree otherwise in writing. They're here so we both know where we stand. If anything is unclear, just ask.

1. Scope of work

Bookings cover on-location camera operation, lighting and setup. Editing and post-production are quoted separately when needed; editing packages include two rounds of revisions, with further rounds quoted before work continues. Where editing is quoted, the quote includes two rounds of revisions; further changes are chargeable at the agreed rate.

2. Rates

All rates exclude VAT (VAT No. 319697946).

Day rates. A standard day is up to 10 hours on site; hours beyond that are charged at the overtime rate on my current rate card. Travel-only days are charged at 50% of the day rate. Scouting and recce days are charged by agreement. An initial pre-production call is always included; more substantial pre-production time can be arranged and quoted if useful. If a booked day wraps early, the agreed rate still applies.

Kit. Equipment is supplied as part of my bookings and operated by me. Kit charges apply to shoot days only, and reduced rates for longer runs are available, just ask.

Travel and expenses. Mileage is charged at 45p per mile from OX14 1FG. Parking, tolls and congestion charges are at cost. Meals are ideally provided on shoot days; where that's not practical, reasonable meal costs are reimbursed. Accommodation, taxis and public transport are at cost where required. For overseas work, flights and accommodation are booked and paid by the production in advance. Expenses are itemised on the final invoice.

3. Payment

Invoices are payable within 30 days. For a first booking, a 50% deposit may be requested to confirm the date, with the balance invoiced on completion. Overdue invoices may incur statutory late-payment interest.

4. Bookings, cancellation and rescheduling

Holds and confirmations. I'm happy to hold dates provisionally ("pencilled") at no cost. A booking is confirmed on receipt of a written confirmation, purchase order or agreed deposit. If another confirmed offer comes in for a pencilled date, you'll always have 24 hours' first refusal before the date is released, so you're never bumped without warning.

Cancellation of confirmed bookings. Because a confirmed booking means turning away other work, cancellation fees apply: more than 7 days before the shoot, no fee; between 7 days and 48 hours, 50% of the labour fee; within 48 hours, 100% of the labour fee.

Rescheduling. A postponement within the cancellation window is treated as a cancellation, but the fee is credited in full against the rebooked date if a new date is confirmed within 7 days, so nothing is lost if the shoot moves rather than disappears.

Weather. For shoots that depend on weather-sensitive locations, cancellation within 24 hours is charged at 100%, credited in full if the shoot is rescheduled within 7 days.

5. Rights and usage

All footage belongs to the client or production company. Unless confidentiality is agreed in advance, I may use footage for my showreel and promotional purposes.

Filming permissions, location access, contributor releases and any music or third-party licensing are the client's responsibility, and I'm not liable for claims arising from material filmed or used at the client's direction.

6. Footage and media

I film on my own media cards or on cards supplied by the client; my cards stay with me. Footage is transferred to a client-supplied drive on site or by agreed delivery. I keep two backups for 30 days after the shoot as a safety net, after which footage may be deleted; long-term storage is the client's responsibility. In the unlikely event of a technical failure of camera or media, my liability is limited to the fee for the affected day.

7. On the day

To keep the shoot running smoothly, it helps to have: a call sheet and brief in advance, parking and access details, an on-site contact, meals or reimbursement, and drinking water available. For overseas work, any required visas or paperwork are arranged by the production.

8. Equipment and liability

Equipment is supplied under my operation and supervision and isn't available for standalone hire. Where kit needs to be left unattended, a secure space is appreciated; if equipment is left unattended at the client's direction, responsibility for it rests with the client, and damage, loss or theft in those circumstances is invoiced at replacement cost.

I hold public liability, professional indemnity and equipment insurance, with certificates available on request.

My total liability arising from any booking is limited to the fees for that booking, and neither party is liable to the other for indirect or consequential loss.

9. Safety

I reserve the right to pause or stop work if conditions become unsafe.

10. Illness

If illness prevents me from working, I'll give as much notice as possible and, where helpful, do my best to source a suitable replacement.

11. Force majeure

Neither party is liable for obligations missed due to events genuinely beyond their control, such as emergencies or major transport disruption. Weather cancellations are handled under section 4.

12. Confidentiality

Where required, I'm happy to sign an NDA before the shoot, in which case no footage or project information will be used or shared, including for showreel purposes.

13. General

I'm engaged as an independent contractor and am responsible for my own tax and National Insurance. These terms may be updated from time to time; the version published at leependle.com/terms at the point of booking applies. These terms are governed by the law of England and Wales.
