Terms & Conditions – Freelance Camera Operator / DP

By confirming a booking, you agree to the terms below. These apply to all confirmed work unless we agree otherwise in writing.

1. Scope of work

Covers on-location camera operation, lighting and setup.
Editing or post-production is not included unless agreed.

2. Rates and payment

All rates exclude VAT.

Day rates
Standard day is up to 10 hours.
Half day is up to 5 hours and charged at 60 percent of the full day.
Travel-only days are charged at 50 percent of the full day.
Scouting or setup days are charged at the standard day unless agreed.
Online meetings are not chargeable.

If a booked day finishes early, the agreed rate still applies unless agreed otherwise.

Kit hire
Kit is supplied only when I am operating on set.
Hire applies to shoot days only.
Reduced rates for longer runs may be available.

Travel and expenses
Mileage at 45p per mile from OX14 1FG.
Parking, tolls and congestion at cost.
Meals should be provided on shoot days. If this is not possible, reasonable meal costs will be reimbursed.
Accommodation, taxis and public transport if required.
For overseas work: flights, meals, local transport, luggage and hotel costs.

Expenses are itemised on the final invoice unless agreed.

Payment terms
Payment is due within 30 days.
A late fee of 5 percent may apply for significantly overdue invoices.

3. Booking and cancellation

Pencil vs confirmed
A Pencil is a provisional hold.
A Confirmed Booking is agreed via email or message.

Cancellations
More than 7 days’ notice: no fee.
48 hours to 7 days: 50 percent of the labour fee.
Less than 48 hours: 100 percent of the labour fee.

Weather
Weather cancellations within 24 hours are charged at 100 percent, with the fee credited in full if rescheduled within 7 days.
This applies to shoots that rely on weather-sensitive locations.

Rescheduling
Rescheduling within the cancellation window is treated as a cancellation unless a new date is confirmed within 7 days.

4. Working hours and overtime

Standard day is up to 10 hours including a minimum 30 minute paid lunch break.
If no break is provided, a £50 fee applies.
Overtime is £75 per hour after 10 hours.

5. Rights and usage

All footage belongs to the client or production company.
Unless agreed otherwise, I may use footage for my showreel or promotional use.
Confidentiality can be arranged on request.

6. Footage and media

I film on my own media cards or on cards supplied by the client.
Cards are not left with the client.
Footage is transferred to a client drive on site or via agreed delivery.
Client drives should be supplied.
I keep two backups for 30 days after the shoot.
After this period footage may be deleted. Long-term storage is the client’s responsibility.

7. Client responsibilities

The client should provide call sheet, brief, parking and access details, meals or reimbursement, on-site contact details and any visas or paperwork required for overseas work.
Basic water and drinks should be available on shoot days.

8. Gear and liability

Gear is supplied only under my operation and supervision and is not available for standalone hire.
A secure space should be provided for unattended kit.
If this is not possible, the client accepts responsibility for equipment left unattended at their direction.
Damage, loss or theft caused by conditions or instructions set by the client will be invoiced at replacement cost.

9. Safety

I reserve the right to stop work if conditions become unsafe.

10. Illness

If illness prevents me from working, I will give as much notice as possible and help source a replacement if required.

11. Force majeure

Neither party is liable for missed obligations caused by events outside their control including illness, weather, emergencies or transport disruption.

12. Confidentiality

If required, I will sign an NDA and will not use or share any footage from the project.
